  • Overview

    Our Front Office Coordinator is the first point of contact at PAL Management.  They are responsible for ensuring a smooth operation of the office and administrative functions while providing exceptional customer service to guests, vendors and staff. The Front Office Coordinator handles the flow of clients and vendors while ensuring all reception duties are completed accurately in a timely manner. This position interacts with back office personnel and supports a variety of departments with administrative tasks.

    Qualifications

    Formal Education and Experience Requirement:

    * High school diploma or GED

    * Proficient in Microsoft Office

     

    Knowledge, Skills and Abilities:

    * At least 1 year of experience in an office setting preferred

    * Excellent written and verbal communications skills

    * Customer service skills and friendly demeanor required

    * Professional attitude, appearance, and communication skills

    * Excellent time management and organizational skills, including the ability to multi-task, prioritize tasks, and work well with co-workers under pressure

    * Ability to use good judgment and utilize independent decision-making skills to effectively problem solve, resolve issues, and facilitate department efficiency and productivity.

    Responsibilities

    1. Present a professional, welcoming first contact to all guests, vendors, staff, etc. via phone, in person and email

    2. Screen and forward incoming phone calls to appropriate department

    3. Receive, create and ship and distribute all incoming/outgoing packages and mail

    4. Provide administrative support to Executive staff; reporting, data entry, filing and clerical duties

    5. Manage and maintain conference rooms schedules

    6. Handle and direct customer complaints or issues to the appropriate personnel

    7. Monitor office supplies inventory and place orders

    8. Oversee the timely opening and closing procedures of office

    9. Maintain company phone list and location lists

    10. Other duties as assigned
